🛠️ Technical Setup Instructions

Your Point of Contact:

Upon your arrival and throughout the conference, your designated Session Coordinator will be your primary point of contact for any queries or assistance you may require regarding your presentation. A list of Session Coordinators and their contact details is published below

 

Presentation File Submission:

All presenters are required to bring their presentation files in the prescribed format on a USB flash drive. Please ensure your presentation is finalized and saved in the specified format before arriving at the conference venue.

For Oral Presentations

File Format and Preparation:

  • Your presentation must be a single Microsoft PowerPoint file (.ppt or .pptx).
  • Please ensure your presentation is in a 16:9 aspect ratio to be compatible with the projection screens in the session halls.
  • To avoid font-related issues, it is highly recommended that you embed all fonts used in your presentation. This can typically be done through the ‘Save Options’ in PowerPoint.
  • If your presentation includes any video or audio files, please ensure they are embedded directly into the PowerPoint file and are in a common format (e.g., MP4 for video, MP3 for audio). If the file size is too big, please lialise it with the technical team of the event early.

On the Day of Your Session:

  • You are required to visit the Preview Room on the day of your scheduled session.
  • In the Preview Room, our Technical Support Staff, with the assistance of your Session Coordinator, will help you load and test your presentation on a simulation of the session hall’s technical setup.
  • This is a mandatory step to ensure your presentation displays correctly and to identify any potential technical issues in advance.

Important Considerations:

  • Please be aware that the presentation setup in the session halls will likely not support a ‘Presenter View’ mode. Therefore, we strongly advise you to bring a printed copy of your presentation notes or narration for your reference during your talk.
  • The computers in the session halls will be Windows-based. If you have created your presentation on a Mac, please ensure it is fully compatible with a Windows environment.

For ePoster Presentations

File Format and Preparation:

  • Your ePoster must be a single-page document as prescribed in the guidelines.
  • The dimensions for the ePoster should be in a 9:16 aspect ratio in portrait orientation.

On the Day of Your Session:

  • On the day of your scheduled ePoster session, please proceed to the ePoster viewing area.
  • With the assistance of your Session Coordinator, you will be able to load your ePoster onto the designated screen and test its display.
  • It is your responsibility to ensure that your ePoster is displayed correctly and that all elements are visible and legible on the screen.

Presenter Responsibility and Disclaimer

The GPHS2025 Organizing Committee is committed to providing a state-of-the-art platform for all our presenters. However, it is the presenter’s full responsibility to ensure that their presentation files are in the correct format, free from corruption, and compliant with the guidelines provided.

The GPHS2025 organizers will not be held liable for any technical issues arising from corrupted files, incompatible file formats, font discrepancies, or problems with the layout of images and videos within the presentation. Our Technical Support Staff will be available to assist with loading and testing presentations, but they will not be able to rectify file-specific problems.
